Why Amazon Rejects Invoices and What to Check

Invoice rejection does not always mean the products are fake. Small supplier, document or formatting problems can prevent Amazon from verifying the purchase.

When Amazon requests an invoice for ungating, authenticity or account-health review, the document must prove a clear supply chain. Repeatedly submitting the same weak document usually does not solve the problem.

Supplier Details Do Not Match

The supplier’s legal name, address, phone number and website should be clear and verifiable. A trading name without supporting legal details can create doubt. Amazon may contact the supplier, so the contact information must be active.

Your Business Details Are Inconsistent

The buyer name and address should match the legal details in Seller Central. Differences in abbreviations, old addresses or personal names can cause rejection. Ask the supplier to correct the invoice before submitting it.

The Document Looks Like a Receipt or Order Confirmation

Amazon normally expects a final commercial invoice, not a quotation, pro-forma invoice, packing slip or online order confirmation. The document should include invoice number, date, product descriptions, quantities, seller and buyer details, and payment terms.

Products Cannot Be Identified

Descriptions should be detailed enough to connect the purchased items to the ASINs. Model numbers, UPCs, EANs, SKUs or brand names help reviewers verify products. Generic descriptions such as “beauty items” are weak evidence.

Quantity or Date Requirements Are Not Met

Check the exact request shown in Seller Central. Amazon may require a minimum combined quantity and invoices issued within a stated period. Older documents or insufficient units may be rejected even when the supplier is genuine.

Important: Never edit invoice details yourself. Request a corrected invoice directly from the supplier and keep the original document.

Supplier Authorization Is Unclear

A wholesaler may be legitimate but not authorized for the brand. Ask for proof of distribution rights or a letter of authorization when appropriate. Amazon can still make its own decision, but a clear supply chain provides stronger evidence.

Before Resubmitting

Read the rejection notice carefully, compare every field with Seller Central, verify the supplier independently and submit a clean scan or original PDF. Add a short explanation that identifies the ASINs and invoice pages without making unsupported claims.
